Privacy Policy

This is a plain-language summary of how RentLens works. It is written to be clear, not to be legalese.
What we collect
- Account — your email and optional name.
- Property information — address, rent, size, features, and rent history you add.
- Documents & photos — lease PDFs and photos you upload; leases are processed by an AI provider to extract key terms.
- Rental Passport — if you build one: your profile, employment and declared income, rental history, references, an optional guarantor, and supporting documents you upload. Some of this is other people's information (a reference or guarantor) that you provide and confirm you may share.
- Recipient details — if a landlord or realtor interacts with a Passport you shared, we store the email they verify and any name/role they provide, so they can request a document or share a next step.
- Usage & technical data — basic analytics and error logs to keep the service working.
How we use it
- To generate your valuations and power the calculators.
- To improve estimates for everyone using anonymized, aggregated data.
- To detect fraud, abuse, and data-quality problems.
- To operate, secure, support, and improve RentLens.
Market data contribution
When your rental is verified, its rent and characteristics may be used — in anonymized, aggregated form — to improve market estimates for other users. We never show your specific property, address, or identity to other users; only combined figures like building or city averages are surfaced.
You control this. Turn it off for your whole account in Settings → Market data contribution, or per-property on each property page. Opting out never affects your own valuations — it only means your data doesn't help improve estimates for others.
Rental Passport & sharing
Your Rental Passport is yours. Nothing in it is shared until you choose to share it. When you create a share link, you pick exactly which sections and documents it includes, and we send a snapshot — a point-in-time copy of only what you selected. Later edits to your Passport don't change a link you've already sent.
A share link goes to the landlord or realtor you give it to. Once they open it and verify their email, they can request a specific document or share a next step; you decide what to provide and can decline any request. You can set an expiry and revoke a link at any time — revoking immediately cuts off access to the Passport and any documents shared through it.
If your Passport includes a reference or guarantor, you're providing another person's information and confirming you have their permission to share it. We don't contact your references or guarantor. We never build tenant scores, risk ratings, or approval recommendations, and a recipient never sees a completion score.
Staff access
Authorized RentLens staff and moderators may access your data when necessary to operate the service — for example, to investigate fraud or abuse, resolve duplicates, or provide support. This operational access is covered by this policy and is not something users opt out of; it's what keeps the data trustworthy for everyone.
Who we share with
We do not sell your personal information. We share data only with service providers that help us run RentLens — hosting, file storage, email delivery, AI lease processing, analytics, and error monitoring — under agreements that limit their use of it, or where required by law.
Your choices & rights
- Export a copy of your data any time (Settings → Export).
- Delete your account and data (Settings → Danger zone).
- Opt out of market-data contribution, account-wide or per property.
As a Canadian service, we handle personal information in line with PIPEDA. You can ask us about the data we hold about you at any time.
Retention, security & changes
We keep your data while your account is active and delete it when you delete your account — including your Passport, any shares and their snapshots, uploaded documents, and recipient interaction records.
We use reasonable safeguards to protect your data. Some of our service providers (hosting and file storage) process and store data outside Canada, including in the United States, where it may be subject to the laws of those countries. If this policy changes, we'll update the date above.
